Allied Health Bookkeeping

Your patients get your focus. Your books get ours.

Specialist Xero bookkeeping for allied health practices, Medicare bulk billing, private health funds, NDIS and award-compliant payroll, reconciled by someone who understands how a practice actually gets paid.

The two biggest headaches

Medicare pays in batches. Health funds pay five different ways.

Medicare payments arrive days after the service, covering multiple patients, and rarely match your invoices line by line. Private health payments arrive from Medibank, BUPA, HCF, NIB and more, each with their own schedules, rebate rates and remittance formats. A generalist bookkeeper guesses. Your books end up showing income that doesn't reflect reality, and you make decisions on numbers that are wrong.

What we handle

Five jobs your practice needs done properly

01

Medicare Bulk Billing Reconciliation

Every Medicare batch matched back to your practice software, so your income is recorded accurately and your receivables reflect what's actually outstanding. The gaps between what you billed and what you received stop going unnoticed.

02

Private Health Fund Claims

Payments from every insurer matched to individual patient invoices, the manual job most practice owners either skip or get wrong. We do it every month, properly.

03

BAS With the Health Exemption Done Right

Most clinical services are GST-free, but product sales, some coaching and non-clinical income aren't. We classify every income type correctly and lodge as a Registered BAS Agent, so you're neither overpaying GST nor building an ATO liability.

04

Award-Compliant Payroll

Practitioners, admin and support staff often sit under different Modern Awards. We set payroll up correctly, STP, super, leave accruals, and keep it compliant as rates change. Payroll errors in a health practice are costly and hard to unwind; you won't have any.

05

A Xero File Built Around How Your Practice Earns

A standard chart of accounts can't tell you what's driving your revenue. We build (or rebuild) your Xero file with income split by Medicare, private health, NDIS and private fee-paying clients, so your reports answer the questions you're actually asking: which stream is growing, which practitioner is utilised, and where the margin is.

Most clinical services provided by registered practitioners are GST-free under the health services exemption, you don't charge GST on those consultations. But product sales, some telehealth coaching and room hire may be taxable. We classify every income type correctly so your BAS is right, every quarter.

Medicare pays in batches covering multiple patients and service dates, days after the fact. Without proper matching, your books show income that doesn't line up with reality. We reconcile every Medicare payment against your practice software so your income and receivables are accurate.

Yes, we're certified Xero advisors and build files from the ground up: income split by funding stream, payroll configured for practitioners and admin staff, bank feeds connected. Already on Xero but set up by a generalist? We restructure it.

Practitioners are often covered by the Health Professionals and Support Services Award while admin staff may fall under a different instrument. Wrong classification means underpaid entitlements and a wage compliance liability. We set it up correctly from the start and keep it current as rates update.

A fixed monthly fee based on the size and complexity of your practice, practitioners, income streams, payroll and BAS needs. No surprise invoices, ever. Book the free consult and we'll take it from there.
